You have a brand concept, a target price, and a clear vision. You write a brief, send it to three factories, and wait for quotes. Two respond with questions. One sends a quote that feels incomplete. You answer the questions. More questions arrive. Two weeks pass before you have three comparable quotes—if you are lucky.
This is not a communication problem. It is an information completeness problem. Factories need specific technical and commercial details to produce an accurate quote, a right-first-time sample, and a smooth production run.
A brief that sounds detailed to a brand owner often omits the specifics that determine whether the quote matches the final invoice. This article covers what information to lock before approaching a factory, where the gaps usually form, and how to structure your brief so the quote reflects what you will actually pay.
Private label buyers tend to describe the product in consumer language—”a small clear patch that sticks well”—while factories need production language. The gap between concept and specification is where the question cycle starts.
Brands with strong visual identities and consistent reorder patterns worked with factories that had clear specifications from the beginning. When specifications are vague, factories either over-quote with room for adjustment or under-quote and add costs later. Neither outcome serves your launch timeline or budget.
Most briefs identify the patch type but skip the details that affect unit cost and performance consistency.
Specify absorbency levels and maximum thickness tolerance. For microneedle patches, specify the needle count and dissolution target.
Define diameter for each size. For custom shapes, specify whether the shape requires new tooling (a one-time charge) or uses an existing die.
Patches per sheet and sheet dimensions affect pouch size and packaging cost. If you want a mix of sizes on one sheet, specify the quantity of each explicitly.
Packaging decisions affect cost, MOQ, and lead time as much as the patch itself. A factory cannot quote accurately without knowing the material, print method, and order quantity.
Artwork handoff problems account for a significant portion of delayed approvals and unexpected costs. Provide vector files for logos and CMYK/Pantone color specifications. Establish a maximum number of revision rounds before you start so the project does not drift.
Artwork cannot be finalized without confirmed label content. Once sent to print, changes become expensive.
The brief should include commercial parameters even if they are ranges. A factory that does not know your target quantity or shipping preference cannot complete the quote accurately.
Even a range (e.g., 3k–10k units) helps the factory determine ODM vs. OEM pricing. OEM with proprietary formulation requires higher MOQs and longer lead times.
FOB vs. DDP affects the quoted price differently. If you have a preferred freight forwarder, state it clearly so the factory quotes product cost accurately.
